The admission process (exchanges for a semester)

 

Before applying 

General 

- Bachelor's and Master's degree students can go for a semester abroad at partner universities of the School of Business Administration, and receive academic recognition in the courses taught abroad as part of the degree studies.

- It is important to note that the trip abroad is the following year (a student submits an application in the second year, and leaves in the third year).

Who may submit nominations?

- Second year or third year graduate degree students, provided that there are at least 10 credits remaining in the next year.

- Graduate students.

- Students in the Alpha track or preparation for a certificate, provided that there are 10 credits remaining in the next year.

- General grade point average - 80 or higher.

Who are not allowed to exchange:

Students for a graduate degree in the integrated program of business administration and accounting

Students for an accredited degree in which no elective courses are studied or specializations in which there is an annual course in the second year 

 What should you consider before you decide to apply?

Please carefully examine the system of considerations and consequences of studying abroad:

- costs

- Possible extension of the study period by a semester or a year.
Qualified students are not allowed to extend their degree beyond two years due to going on a student exchange program.

- How will going to the program affect a variety of issues such as work, residence, family, relationship, etc.

- Participation in other programs in the department/faculty.

- Are you ready for a long stay in a foreign country?

- You can apply for both the business school's exchange program and the university's general program through the International Authority, but if you are accepted to both programs, you will have to choose which program you want to participate in.

- Students need to finish all their academic requirements and exams for the current academic year before leaving for the exchange. Please note that it is the students’ responsibility to ensure that they have finished their academic requirements before leaving and any consequences of this matter is on the students in accordance with the regulations of the Exchange Programs and the Business School.

- Students may request for extensions for their seminary works and for moed meuhad for their tests ; however, the school does not guarantee that their requested extensions are accepted.

how much will it cost me?

The cost of going on a student exchange varies from student to student, and is affected by various factors such as the host country, the length of stay, the standard of living and several other factors.

While going on a student exchange, you will continue to pay tuition as usual directly to the Hebrew University (and not to an institution abroad), with the exception of registration/handling fees that you will sometimes be required to pay.

However, there are various expenses to consider: flight tickets, accommodation, food, medical insurance, passport, entry visas and personal expenses.

scholarships

The school awards scholarships to some students worth $1000-2500 based on various criteria. It is important to note that the school does not have Erasmus agreements.

 How will this affect my studies?

  •  Alternatively, the departure is in the first semester or the second semester of the third or fourth year for a graduate degree or in the second year for an accredited degree.
  •  You should  carefully examine the academic calendar of the institution where you are interested in studying  because there are quite a few differences between the Hebrew University and institutions abroad.
  •  You can study elective courses that correspond to the contents of the study classes. In exceptional cases, you can study compulsory courses. As part of studying abroad, it is not possible to study an annual course or fulfill the obligation to submit seminar papers.
  •  All courses that you intend to study abroad must be approved in advance before going abroad in order to ensure academic recognition of the courses:
    •  Courses of the School of Business Administration will be approved by the graduate degree advisors / the heads of specializations in the certificate.
    •  Arrangements with other faculties at the Hebrew University, including for students of joint programs, are not the responsibility of the School of Business Administration. The students must consult and obtain the approval of the head of the department/degree advisor/secretariat in the second department in order to receive recognition in the courses you are interested in studying at the host institution. You must meet with the heads of your second department and consult with them regarding the completion of the deficiencies before your acceptance/commitment to the program to make sure that you are not harmed by the deficiencies that will accrue to you.
  •  Courses studied abroad as part of exchange agreements that will be recognized at the Hebrew University will not be awarded with a numerical grade but only with credit points.
  •  - One must take into account the possibility that this will result in an extension of the duration of studies for a comprehensive degree, which is implied by this regarding the payment of tuition fees.

How to apply?

Apply through an online form on the website.

Please note: the submission system is open only during the registration period for the exchange programs.

On the website you have to fill out a form with your personal details and choose 8 institutions abroad in order of priorities.

  1.  The following documents must be attached to the application: 
  •  CV (in English) 
  •  Complete grade sheet in English (from the faculty secretariat - consult with Anat).
  •  Associate degree students are required to bring a current grade sheet and a grade sheet from the graduate degree in the English language.
  •  Motivation letter in the English language 

In the letter, describe the reasons why you are interested in participating in the student exchange program, why you deserve to be selected to go to the program, and why you want to go to the universities you have chosen? You can refer to the study programs offered at that institution and your current and/or future academic studies.

  •  Letter of recommendation from a lecturer
  •  A 2-minute self-presentation video in English.

Applications that are not submitted in full will not be brought to a judging committee

Applications submitted after the submission deadline will not be forwarded for adjudication.

 The Eligibility phase 

After the closing of the call, the applications will be moved to an initial screening stage. After that, the contestants will be invited to a personal interview.

Meeting the published conditions for submitting an application does not mean automatic acceptance to the exchange program

The results of the judging - letters of acceptance and rejection will be delivered to the submitters at the end of the judging process two months after the closing of the call

 

Mazel Tov! You have been accepted - what should you do?

  1.  Confirmation of admission from the school

In the acceptance letter that will be sent by email, it will be stated to which institution you were accepted from the options you indicated in your application. During the judging stage, great efforts are made to answer the students' requests. However, in institutions where the demand is high, it is not possible to give everyone the institution they requested. If you did not receive an institution that you indicated in your priorities During the submission phase, you will be offered another institution as an alternative, where there will be free places.

Student exchange departure approval must be notified within  7  days of receiving the acceptance notice. The school's notification to the Ministry of Education regarding acceptance into the program will be coordinated with the acceptance notifications of the university's exchange programs to allow you to make an informed decision.

  1.  cancelation

Students who have confirmed their departure for student exchange may cancel their participation up to 14 days from the date of their notification, without penalty.

Cancellation beyond 14 days will be charged a handling and management fee of NIS 500.

  1.  Application by the school Nomination )

After you have approved your departure for an exchange to a certain institution abroad, we will officially submit your application for participation in the student exchange to the institution abroad (each institution has fixed submission deadlines). The students will receive an orderly update on this.

  1. Application by the candidate

Only after confirmation of the acceptance of the nomination on our behalfNomination ) by the institution abroad, you will receive an email from us / the host institution with instructions on how to proceed with the phase of submitting your candidacy to the university abroadApplication ).

  1.  Times for filing complaints and receiving an answer
  •  For semester 1, the process lasts between the end of February and July, and for semester 2, the process lasts between July and November.
  •  You need to be patient - receiving instructions to continue the registration is expected to be received several weeks before the deadline for submitting the application to an institution abroad. It is very important not to independently contact an institution abroad until you receive appropriate instructions and instructions.
  •  Submitting the application to institutions abroad is usually online and may include various documents.

Pay attention to follow  the prerequisite requirements of the institution abroad  such as language requirements, prerequisite courses, etc. (appears on the information page of each institution) otherwise you will not be able to go abroad.

  1.  Acceptance / Rejection

After completing the application for the institution abroad and at the end of their judging process, you will receive an acceptance/rejection letter.

If you are accepted, the host institution will send you an official acceptance letter and inform you about the next steps in the process. After that, you have to start preparing for mobility, including applying for a student visa.

  1.  Visa

After receiving the official acceptance letter from the university abroad, the procedure for issuing a student visa must begin.

Issuing a visa is mandatory, under the responsibility of the student and involves a fee.

The conditions and requirements in each country are different and may also change from time to time.  It is highly recommended  to check with the coordinator of the host institution and with the relevant consulate and find out:

   - What are the required documents?

   - What are the schedules?

   - Is a medical examination by the embassy necessary?

   - Is there a work permit?

   - Is there a possibility to issue a visa to a spouse.

patience! There are countries where this process is quite long.

Please note that the passport must be valid for up to six months from the date of return to Israel.

  1.  Flight ticket

It is important to note that there are institutions where orientation days are held before the start of the official school year.

You have to order tickets ahead of time and get there on time.

The orientation days are very important and in some cases an integral part of the exchange attacks

tip! You must keep the flight and boarding passes, in case you are required to show them later.

  1. Health insurance

Health insurance is mandatory. For the most part, this can be done according to your personal choice. At the same time, there are institutions that require only their own health insurance. Please check this carefully  in advance . This information will appear on the institution's website or on the institution's information page.

  1.  Residence

It is recommended to use the international office of the institution abroad for information about dormitories and residences.

If you have chosen to live outside the university dormitories, it is recommended to check the subject of residence  even before arriving abroad , what are the requirements for signing a residence agreement, what are the conditions for the contract, and more.

 There are various websites that can be used for this purpose, sometimes within the host universities and on various student websites.

  1.  Opening a phone line

It is recommended to check in advance what is the process required to open a telephone line, and whether the contract is not binding and binding for a longer period than the time of stay there.

  1.  Opening a bank account

In most cases, it is acceptable to open a bank account in the destination country. It is recommended to find out in advance with the contacts at the host university what their requirement is on the subject, and if they require opening a bank account, what is required for this? (notary confirmation, confirmation of the period of stay, etc.).

There are universities that even require the presentation of documents that indicate the student's financial situation.

tip! You must take care of full financing for the entire period of your stay abroad, including the trip, and it is highly recommended to take cash for your living for several weeks.

 

Course registration 

Approval of courses

The students will have to fill out an online form in which they will enter the details of the courses they are interested in studying at the late institution and attach the syllabus. The information will be passed on to the advisors / heads of specializations.

Please note that this approval is only for the courses studied at the School of Business Administration and not in the second course. Regarding the courses studied in the second department, you must receive written permission from the head of the department/degree advisor (in the second department).

 Note: Only pre-approved courses are eligible for academic credit upon your return from abroad.

The courses studied abroad will serve as a substitute for elective courses, except in special cases, which are subject to the approval of the relevant advisor/head of the specialization. It is not possible to study courses abroad as a substitute for compulsory courses.

A student for a graduate degree is required to study at an institution abroad courses equal to a minimum of 10 credit hours and up to 20 credit hours which can be recognized on the grade sheet as studies abroad.

A student for an accredited degree is required to study at an institution abroad courses equal to a minimum of 6 credit hours and up to 12 credit hours which can be recognized on the grade sheet as studies abroad.

All details and highlights regarding the recognition procedure for courses at the Business School will be sent in May .

Recognition policy for courses studied abroad

The credit points for the courses studied abroad will be given for successful completion (obtaining a passing grade at least at the same university) of the courses studied abroad.

Upon your return to Israel, you must present an internal grade sheet for the courses you studied abroad in order to build your study program at the Hebrew University. Recognition of the courses will be reported after receiving an official grade sheet from the university where you studied abroad. (no later than three months from the date of your return from abroad) credit will be given according to the rules of equivalence (see  the regulations of the National Bank of Israelsection 13.4 )

Courses studied abroad as part of student exchange programs and recognized by the Hebrew University will not earn the student a numerical grade but credit points and a grade of "mandatory credit" (as stated in section 13.3 of the regulations).

 

Scholarships and tuition fees 

scholarships

Some students will be able to receive a scholarship in the amount of 1,000-2,500 dollars from the Hebrew University, which aims to help with living expenses in the host country.

The grant will be transferred to your account through student administration. If you want the money to be transferred to another account, this must be changed in the personal information on the university's website.

Please note - the travelers in the first semester who are found to be eligible for the school's grant, will receive the money only after the opening of this year, during the month of December. Therefore, you should not rely on the grant as available money that can be used during your stay there.

Tuition

Upon successful completion of your studies abroad, you will receive recognition for your studies abroad, and you will be charged the tuition fees for those studies upon your return to Israel (payment #1 and related payments).

Each course for which you will receive an academic credit upon return will be charged a tuition fee according to its scope (in the NAZ). The charge that will be used will be 25% or according to the hours, whichever is higher.

If you are in the last year of studies for the degree (and you have declared that you have completed the duties for the degree) tuition will be paid according to the recognized hours or according to the accumulation of the tuition fees for the degree, whichever is higher.

If you missed a mandatory course, for which no equivalent course was found at the host university, due to going on a student exchange program in the third year - you will complete this course in the fourth year of your degree studies. You will be charged for the course in year 4 only, or by completing the cumulative credits for the degree, whichever is higher.

you arrived abroad

Upon arrival abroad, you will probably need to make quite a few arrangements - accommodation, opening a bank account, phone line, studies, etc.

The international offices at institutions abroad are ready to assist you.

Therefore, as soon as you arrive at an institution abroad, you must have the relevant contact person at the International Authority sign the arrival form and send it by email to the international office at the addressbschoolexchange@mail.huji.ac.il

Please note that upon graduation and before returning to Israel you will be required to sign the relevant contact once more.

Please note: the student disciplinary regulations of the Hebrew University apply to you even during your studies as part of an exchange abroad.

Change courses

The study programs published on the university websites before starting your studies are not always up-to-date and sometimes the courses you have chosen ahead of time in Israel do not match your actual expectations.

Therefore, it is possible to make changes to the study program you submitted upon your arrival at an institution abroad (usually in the first three weeks of studies). You must request confirmation by email from the bachelor's degree center/master's degree majors (in courses related to business administration and not of the second department).

Have you decided to stop your studies abroad for any reason?

If for any reason you are forced to stop your studies abroad before the end of the semester, you must notify the international office at the host university and the international office at the Hebrew University School of Business Administration in writing atbschoolexchange@mail.huji.ac.il

Did you encounter a problem? distress?

During your stay abroad, in case of emergency contact the Israeli embassy/consulate nearest you.

Therefore, upon arrival abroad, find out the contact details of the embassy/consulate situation room and keep the mobile phone in case of an emergency (hopefully there won't be one).

In the event that you find yourself in emotional/mental/other distress - seek assistance from the appropriate person at the institution abroad. At the same time, it is important to inform the student exchange coordinators from the international office at the school at the addressbschoolexchange@mail.huji.ac.il with a copy to Jane Turner:  janet @savion.huji.ac.il

 

Back to the Hebrew University

We hope that the exchange period was a wonderful experience and an opportunity for significant learning both academically and personally.

You may experience mixed feelings or some difficulty with her return. It is important that you know that there is a possibility of getting help. You can turn  to consulting services  for help if necessary.

What should you do upon your return?

Upon returning to Israel, present the form with the two signatures from the host institution proving participation in the exchanges.

- Recognition of courses

As mentioned, the handling of the academic credits and the payment of tuition fees for them will only be carried out after returning to Israel.

 Credit for the courses will be reported after receiving an official grade sheet from the university where you studied, which will be delivered electronically or in a hard document up to three months from the date of your return from abroad at the most. The credit will be given according to the equivalence rules.
